REGULATIONS FOR PARTICIPANTS OF COSMETIC AND HAIDRESSING CONGRESS AND INTERNATIONAL TRADE FAIR
BEAUTY FORUM & HAIR 2022


1. These Regulations are available on the website of the fair for spring edition at: www.beauty-fairs.com.pl/ and each time during the fair at the entrance to the fair hall / at the ticket office.


2. These Regulations are valid for all Participants of the Fair. Fair Participants are obliged to follow the provisions of these Regulations. Entering the fair hall, the Participant, depending on the role in which he takes part in the fair, accepts all relevant provisions set out in these Regulations as binding for them.


3. These Regulations define the rules for entering the Fair Facility and staying at the Fair Facility in connection with the Fair and during their duration.


4. The Organizer of the Fair is Health and Beauty Media Sp. z o.o. with its registered office in Warsaw (code: 02-954) at Królowej Marysieńki 9/10, National Court Register (KRS) 0000043094.


5. If the following terms are used in the content of these Regulations, they should be understood as:
1) Participant: Exhibitor, Sub-exhibitor, Exhibitor’s or Sub-exhibitor’s staff, Exhibitor’s or Sub-exhibitor’s stand personnel, Exhibitor’s or Sub-Exhibitor’s representatives, Exhibitor’s or Sub-Exhibitor’s guests, persons participating in the Fair as female and male models, speakers, lecturers, industry visitors, individual visitors and all other persons who, in connection with or for the purpose of organizing the Fair, are staying at the Fair Facility,
2) Fair Facility: the fair hall Ptak Warsaw Expo and its area, including car parks located in Nadarzyn (code: 05-830) at Al.Katowicka 62,
3) Fair: Cosmetic and Haidressing Congress and International Trade Fair BEAUTY FORUM & HAIR 2022 (17-18.09.2022),
4) Exhibitor: any natural or legal person who purchased from the Organizer a trade fair stand or exhibition space in accordance with the Conditions of Participation.
5) Sub-exhibitor: a natural or legal person reported to the Organizer by the Exhibitor in accordance with the Conditions of Participation.
6) Conditions of Participation: specified in a separate document in writing for a particular edition of the BEAUTY FORUM Fair, rules of participation in the Fair available at: www.beauty-fairs.com.pl
7) Sponsor: any natural or legal person who on the basis of a separate agreement concluded with the Organizer has been granted the status of a sponsor of a given edition of the Fair.


6. The rules of entry to the Fair and each event taking place within the Fair are set out by the Fair Organizer.


7. Entitled to enter the Fair are persons who, depending on the nature in which they would participate in the Fair, concluded an appropriate agreement with the Organizer or purchased an admission ticket or received a different document from the Organizer that entitles them to enter the Fair (eg invitation or ID).


8. Purchase of participation in the Fair (stands) or admission tickets to the Fair or to paid events taking place during the Fair can be made through the system. In the case of stand purchasing through the: https://beauty-fairs.com.pl/dla-wystawcow/ and in the case of tickets through the presale system: http:// beauty-fairs.com.pl/
The purchase of participation in the Fair (stands) takes place on the terms specified in the Conditions of Participation. The sale of tickets for the Fair and individual paid events held during the Fair takes place through the system indicated in the previous sentence system launched 30 days before the beginning of the Fair and will be conducted until 4:45 PM on Sunday 18.09.2022.


9. Participants who purchased admission tickets online at https://beauty-fairs.com.pl/ and will want to receive an invoice will receive an invoice via the website.


10. Participants who purchased the participation in the fair from the Organiser on the basis of an agreement concluded with the Organizer make the settlement and receive invoices on the terms specified in the Conditions of Participation.


11. The Organizer reserves the right to: cancel the Fair, change the date of the Fair, postpone or shorten the Fair due to reasons unforeseen or independent from the Organizer, in particular for reasons beyond the Organizer that make the Fair impossible to organize. In the case of circumstances specified in the preceding sentence, the Organizer does not bear any liability towards the Participants.


12. The Organizer reserves the right to introduce restrictions on entry to the Fair or to individual events held as part of the Fair if such restrictions would result from the necessity to introduce security rules or other circumstances unforeseen or independent from the Organizer. In the case of circumstances specified in the preceding sentence, the Organizer does not bear any liability towards the Participants.


13. The Organizer reserves the right to conduct registration of Participants if circumstances require so, including security considerations or legal regulations.


14. Exhibitors and Sub-exhibitors may stay at the Fair only at the time and on the terms specified in the Terms of Participation.


15. The provisions of these Regulations concerning Exhibitors, Sub-exhibitors and / or Sponsors are applicable to the Exhibitor’s or Sub-exhibitor’s or Sponsor’s staff, Exhibitor’s or Sub-exhibitor’s or Sponsor’s stand staff, Exhibitor’s or Sub-exhibitor’s or Sponsor’s representatives and to the guests invited by Exhibitors or Sub-Exhibitors or Sponsors. The Exhibitor or Sub-Exhibitor or Sponsor are obliged to familiarize the persons they hire or invite to the Fair, with the terms of these Regulations. The Exhibitor or the Sub-Exhibitor or the Sponsor shall bear full liability towards the Organizer, the owner of the Fair Facility and the Fair Facility manager for the persons they hire during, in connection with and for the purpose of the Fair, also during the assembly and disassembly of stands.


16. The Participants of the Exhibition other than the Exhibitors and Sub-exhibitors may stay at the Fair Facility only on dates and during the opening hours of the Exhibition i.e. on 17.09.2022 from 10:00 a.m. to 6:00 p.m., on 18.09.2022 from 10:00 a.m. to 5:00 p.m.


17. Exhibitors and Sub-exhibitors can photograph only their own stands without restriction. Photographing or recording the image of people by Exhibitors or Sub-exhibitors or Sponsors requires the consent of those who would be photographed / recorded. All Participants may photograph or film stands or exhibits for non-commercial purposes only after obtaining appropriate consent from persons who will be photographed / recorded and owners of stands to be photographed / recorded. Photographing / recording the course of the Fair by Participants requires the prior written consent of the Organizer. The Participant who photographs or records the course of the Fair without the consent of the Organizer or the consent of persons whose image or stand is photographed / recorded, at the Organizer’s request is obliged to stop photographing / recording and / or leave the Fair Facility. The organizer may, in justified circumstances, issue a ban on filming and photographing the course of the Fair. Persons not complying with the rules set out in this point may be removed from the premises of the Fair Facility by the Organizer, security or competent services.


18. On the premises of the Fair Facility without the prior written consent of the Organizer, it is forbidden to conduct any : commercial, canvassing, advertising, promotion, agitation, as well as any fundraising or other activities inconsistent with applicable law, including actions that may be considered as acts of unfair competition.


19. The following bans are applicable within the premises of the Fair Facility:
1) bringing and using: weapons, ammunition, hazardous, flammable, explosive materials, harmful to health or those that in accordance with applicable regulations require special storage conditions and harmful chemical substances, as well as open fire, materials and substances posing a fire hazard, throttles, artificial mist generators and other devices used to generate or spread fire, smoke, steam, artificial mist, fireworks or confetti,
2) bringing and using objects or substances possession and storage of which is prohibited by Polish law,
3) bringing and using any machines, equipment, articles or things that, due to their weight or size, may destroy or damage the Fair Facility, including overloading its ceilings or damage the equipment of the Fair Facility or any of its part,
4) bringing, distributing, selling or consuming alcohol,
5) bringing, distributing, selling or using intoxicants,
6) disturbing order, including aggressive or loud behaviour,
7) smoking of tobacco products and electronic cigarettes, with the exception of places assigned for this purpose and specially marked,
8) polluting the Fair Facility (leaving waste behind collection points or garbage bins) caused by generated waste , including beverage and food packaging, cigarette butts, chewing gum etc,
9) destruction of infrastructure, including covering walls, panes, floors and mirrors with advertising materials or other materials,
10) leaving advertising materials or other materials in a place not previously agreed in writing with the Organizer,
11) organizing any demonstrations, pickets, protests or other actions and gatherings during the fair,
12) touching any devices, installations, in particular electrical and teletechnical sockets,
13) making any changes to devices, valves or installation,
14) making any connections to the installation without the consent of the owner or manager of the Fair Facility,
15) bringing animals,
16) entering places and rooms not intended for Participants,
17) provision of catering services,
18) leaning against, sitting down, lying on elements of stand construction, advertising constructions and other space arrangements, as well as arbitrary – without prior written arrangement with the Organizer, assembly of any installations or devices on the premises of the Fair Facility,
19) staying on the premises of the Fair Facility outside the designated hours,
20) leaving vehicles in car parks located on the premises of the Fair Facility beyond the hours designated for it,
21) any vehicle traffic outside the designated zones,
22) parking vehicles in places not intended for this purpose.


20. Any justified derogation from the prohibitions mentioned in point 20 of these Regulations is possible only after obtaining the prior written consent of the Organizer or the owner of the Fair Facility or the manager of the Fair Facility and fire services.


21. Specified in point 20. of these Regulations prohibition of providing catering services and the ban on bringing, distributing as well as selling or consuming alcohol, do not apply to situations in which the Exhibitor, Sub-exhibitor or Sponsor offer at their stands to clients, guests and other persons visiting small occasional (symbolic) refreshments for usual representation purposes. Should the service provided by the Exhibitor or Sub-Exhibitor or Sponsor take on a character exceeding the usual statutory representation, the Organizer will be entitled to ban such an Exhibitor or Sub-Exhibitor or Sponsor from continuing to serve refreshments.


22. Prohibition of bringing and using substances referred to in point 20.1) of these Regulations does not apply to goods offered / presented / distributed by Exhibitors and Sub-Exhibitors at stands, in particular: cosmetics, nail varnishes, hairsprays, removers, as well as measures necessary to build over a stand for the fair.


23. Aggressive, noisy Participants, under the influence of alcohol or intoxicants, or without obtaining the Organizer’s prior consent, trying to bring to the Fair premises any prohibited materials, substances, agents, weapons or equipment will not be allowed into the Fair Facility. Participants who do not comply with the rules applicable at the Fair, including those who do not comply with the prohibitions applicable at the Fair Facility or behave in a manner inconsistent with applicable law or disrupt the course of the Fair, will be removed from the Fair Facility by the Organizer or the appropriate law enforcement services.


24. Participants staying at the Fair Premises are required in particular to:
1) show at the entrance the service staff the ticket or another document entitling them to participate in the Fair,
2) observe the rules of staying at the Fair Facility, including compliance with prohibitions, health and safety rules, procedures, as well as fire and sanitary regulations applicable at the Fair.
3) respect and execute the instructions issued by the Organizer, security or other appropriate services that aim to enforce behaviour (act or omission) in accordance with the Fair Facility rules, including those which aim to ensure proper course of the Fair, proper organization, security of property, safety of people staying at the Fair,
4) respect the instructions issued by the Organizer, security or other relevant services during evacuation or rescue operations,
5) respect the markings of zones separated from traffic, including zones subject to fire protection,
6) compliance with road traffic regulations applicable in the traffic zone at the Fair Facility,
7) not photographing or not recording the course of the Fair without prior written consent of the Organizer and persons whose images or stand would be subject to photos or recordings,
8) compliance with traffic and parking rules in force at car parks located on the premises of the Fair Facility,
9) users of the car park are required to show proof of payment for a stop when leaving the Fair premises.


25. Parking on the premises of the Fair Facility is paid and unguarded. The organizer is not responsible for vehicles left in the parking lot.


26. Participants who fail to comply with the rules set out in these Regulations, including the period entitling them to stay on the premises of the Fair Facility, dates and hours of disassembly of stands or bans applicable on the premises of the Fair Facility are obliged to compensate the aggrieved party, in full amount, any damage caused by non-compliance with the prohibitions. If, due to the behaviour (act or omission) of the Participant, including that related to non-compliance with these rules, and in particular with dates and hours of disassembly of stands, there arises Organizer’s liability in any respect towards the Fair Facility owner or the Fair Facility manager, the Participant will be required to return the full amount to the Organizer which they will be obliged to pay to the owner of the Fair Facility and / or the manager of the Fair Facility in connection with the Participant’s behaviour and to return to the Organizer any lost benefits that they have suffered in connection with the Participant’s behaviour.


27. In the case of monitoring the whole or a part of the Fair Facility, Participants staying on the premises of the Fair Facility consent to the processing of their personal details in the form of an image of the person, the course of a possible event (causes, effects) during the fair to ensure the safety of people staying at the Fair.


28. The organizer reserves the right to record the course of the Fair using image and / or sound recording devices. Participants of the Fair staying on the Fair days at the Fair Facility pursuant to art. 81 of the Act of 4th February 1994 on Copyright and Related Rights (Journal of Laws of 2018, item 1191, as amended), agree, without additional remuneration, to record, use and disseminate their image constituting a detail of the whole and behaviour for documentation, reporting, advertising, promotional and educational purposes, without time and territorial restrictions in the Organizer’s advertising, promotional, educational or reporting materials, in particular in the press, media and on the Internet, as well as for the preparation and presentation of materials recorded at Fairs (photos, audio and video recordings) in whole or in part in media coverage around the world. If the Participant does not give their consent, referred to in the previous sentence, they should report this fact to the Organizer before entering the Fair premises.


29. The organizer, as well as the owner of the Fair Facility and the manager of the Fair Facility, shall not be liable for damage to persons or damage to property incurred by the Participants for reasons beyond their control, in particular for damage caused by force majeure, by third parties or by the aggrieved party.


30. The Organizer, as well as the owner of the Fair Facility and the Fair Facility manager, shall not be liable for any damages suffered by the Participants as a result of breaks in operation or for malfunctioning of any media, services or devices if they arose due to the fault or neglect of media, services or devices suppliers or for reasons beyond the control of the Organizer, owner or manager of the Fair Facility.


31. Participants should insure themselves against civil liability and insure property.


32. Any deviations from these Regulations under the pain of nullity require a written arrangement with the Organizer.


33. All disputes between the Participants and the organizer will be settled by the competent court of general jurisdiction for the Capital City of Warsaw.


34. In matters not covered by these regulations, the provisions of Polish law shall apply, including, in particular, the provisions of the Civil Code. In the case of disputes with foreign Participants, the Polish law is applicable and the Polish language version of these Regulations is valid.


35. These Regulations are effective from 01.01.2022.
